Sourcing at MEDICA works best in three stages: prepare before the fair, judge suppliers at the stand, and confirm everything after. Use this checklist to stay on track.
Before MEDICA
- List the products you need, with item codes, sizes and yearly quantities
- Note the standards you need: CE/EU MDR, FDA, ISO 13485
- Set your target prices and order sizes
- Shortlist 5 to 10 suppliers using the exhibitor search
- Book meetings with your top suppliers
- Bring a sample of an instrument you buy now, to compare
At the stand
- Handle the instruments: check finish, joints, tips and markings (see Surgical instruments at MEDICA: what buyers should look for)
- Ask about factory size, staff and production capacity
- Ask for certificates and check the dates and scope
- Ask about minimum order quantities and lead times
- Ask about payment terms and shipping (FOB, CIF, DAP)
- Ask whether they offer private label, laser marking and custom packaging
- Take photos of products and catalogue pages (ask first)
- Note the name of the person you spoke to
After MEDICA
- Send your enquiry within a week, with item codes and quantities
- Order samples from your top two or three suppliers
- Test the samples, ideally with surgeons or your quality team
- Compare quotations on the same terms
- Start with a trial order before a large contract
